Job Summary

The Talent Acquisition (TA) Coordinator supports the TA function through administrative excellence and detailed compliance processes. This role is responsible for managing various aspects of pre-employment and ongoing compliance including drug testing coordination, onboarding support, reporting, scheduling, and internal communications. The ideal candidate is highly organized, detail-oriented, and able to work independently while supporting a fast-paced recruiting environment.

Responsibilities

Essential Functions

  • Supports Talent Acquisition in delivering a seamless candidate experience from application to offer. 
  • Administers pre-employment and random testing processes, including vendor coordination and documentation.
  • Oversees I-9 compliance and documentation tracking. 
  • Responds to routine employment-related inquires, escalating complex matters as needed. 
  • Assists with planning and logistics for Spring and Fall career fairs.
  • Assists in coordinating the Summer Internship Program, including intern events and engagement activities.
  • Supports onboarding logistics: toolkits, welcome communications, onboarding checklists, and announcements.
  • Submits internal communications (e.g., lobby screens) to promote new hire engagement.
  • Maintains employment compliance tasks, including documetn expiration tracking and payroll updates.
  • Progides administrative compliance tasks, including document expiration tracking and payroll updates.
  • Proivdes administrative and reporting support for recruitment and onboardin gprocesses.
  • Manages the careers inbox, travel bookings, credit card requests, and pre-employment invoice processing.
  • Maintains confidentiality of all HR related information

Non-Essential Functions

  • Produces and distributes standard and ad hoc reports to managers/supervisors
  • Ensures employee information is properly filed and retained including offer letters
  • Updates and monitors third party recruiting sites
  • Assists other HR functions as needed such with benefits/compensation, administration, recruiting/hiring/onboarding activities, employee relations and training needs
  • Contributes to strategic priorities and continuous improvement efforts
  • Acts as a liaison between employees and management, as needed
  • Other duties as assigned by supervisor or other designate

Qualifications

  • Minimum of two-year degree or equivalent HR experience required
  • Strong working knowledge of Windows and Microsoft Office (Excel, Access, Word, and PowerPoint) is required. 
  • Experience managing DOT and non-DOT drug testing programs preferred.
  • Prior experience with ATS systems is preferred.
  • Adherence to confidentiality and legal compliance in HR processes.
  • Proficient in HRIS systems.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and organization skills.
  • Ability to prioritize multiple responsibilities and meet deadlines.
